Job card timer

Important: The job card timer is only available on the new job card. Make sure you have switched to the new job card layout before getting started.

What the job card timer does

The job card timer tracks active technician time on each job. The timer data helps you see whether your service menu pricing reflects the time jobs actually take.


How to set it up

  1. Go to Settings
  2. Select Other Settings
  3. Scroll down to Job Card Options
  4. Toggle on Enable Workshop Timers
  5. Start the timer by changing the status of a job to Begin Job or click the Start icon

Once the toggle is enabled, the timer will appear on every job card, and a floating widget will display your active timers. Each job card has one timer. Only the time a technician is actively working is recorded. Paused or idle time is not counted.


When the timer turns red: If the elapsed time exceeds the estimated duration set on the service type, the timer will turn red. This means the job has run over the estimated time.

Important: If a technician forgets to pause the timer overnight, the data will be inaccurate. Technicians should get into the habit of pausing or stopping the timer when they are not actively working on a job.


How to use the timer

There are two ways to run the timer: automatic and manual. Both record the same data. Choose the option that suits your shop's workflow.

Automatic

The timer starts and stops automatically based on job status changes.

  • When the status changes to Begin Job, the timer starts running on the job card and the widget
  • When the status changes to any other status, the timer pauses

Manual - On the job card

Use the timer controls directly on the job card.

To start the timer:

  1. Click the start icon on the job card
  2. The job status automatically changes to Working On

To pause or stop the timer:

  1. Click Pause or Stop while the timer is running
  2. Either button pauses the timer and changes the status to Waiting For Work

Manual - on the timer widget

The widget appears on every screen in Hubtiger and shows all active timers at a glance. You can drag it anywhere on your screen.

  • To open the widget, click the timer icon
  • To hide the widget, press Ctrl+H or click the minimise button
  • To show the widget again, press Ctrl+H
  • To open a job card directly from the widget, click on the job card details in the widget

Note: The widget only displays active and paused timers. Stopped timers are removed from the active timer list.


Timer audit trail

The timer audit trail gives you a full history of time logged against each job.

To view it, click the Timer Audit Trail icon on the job card.

The audit trail shows:

  • The total number of sessions and total time logged
  • Which technician worked on the job
  • The start time and end time of each session
  • The session number - each time the timer is started and stopped counts as one session

A job card can have as many sessions as needed.


Daily productivity & efficiency email

Once the timer is running, the data feeds into the daily productivity & efficiency email. This email arrives each morning and covers the previous day's activity. It reports two things:

Efficiency - Estimated time divided by actual time

  • Over 100% means the job came in under the estimated time. You may have charged for more time than it took.
  • Under 100% means the job ran over the estimated time. You may be undercharging.

Estimated time is taken from the duration set on the service type.

Productivity - Actual working hours divided by available working hours

  • Available hours are calculated as working hours minus admin time, lunch, and leave.
  • The Working On status is used to track active time for both metrics.

Note: If multiple technicians work on a single job card, only the technician who last worked on the job will appear in the email, and all time will be assigned to them. For a full breakdown of who worked on a job and when, refer to the timer audit trail.
